TimeControl Workflow is a part of version 6.7

TimeControl Workflow may be one of the most powerful features we’ve ever released.
The recently launched TimeControl 6.7 introduced TimeControl Workflow.  Workflow uses the timesheet release as a trigger event and then allows you to select froworkflow_screen_300x222m a number of possible actions based on data conditions in the timesheet or elsewhere in TimeControl.
Have you ever wanted to:

  • automatically have TimeControl send an email notification to someone when certain tasks are completed or;
  • automatically skip the manual supervisor approval if there is nothing of interest such as overtime on the timesheet or;
  • trigger some extra time in a time-off bank if the timesheet shows a specific data condition or;

TimeControl Rates Tutorial

Sometimes here at HMS, we work with something within the TimeControl timesheet system so often, that we forget just how remarkable a feature it is. 
TimeControl and TimeControl Industrial Rates functionality falls right into that category.  There are numerous TimeControl functions that make up the Rates capabilities and we’ve now released a tutorial on how to work with those functions to solve business problems
Some clients need to price hours for invoicing.  Others need to cost the hours for job costing. Perhaps you have different rates for different clients or different rates for different projects.  The rates architecture in the TimeControl timesheet system is the most flexible in the industry and it must be because TimeControl is used for different purposes simultaneously. 
It is a key differentiator over other timesheet options.
Did you know that TimeControl supports an unlimited number of Rate Codes per employee or rates_tutorial_cover_200x258 an unlimited number of Rate Codes in the system?  And, for each and every Rate Code, you can store multiple values. Rates in TimeControl can be defined globally, at the resource or employee level and you can configure TimeControl to show only those rates that are appropriate to a particular situation.
TimeControl Rates can be used to track both internal costs and external invoicing values at the same time.
TimeControl Rates allows you to track an employee working at one rate on one project, and another rate on a different project in the same day.
TimeControl Rates allows the tracking of unpaid overtime and even though you have no extra actual cost today, you could still invoice the work recorded.
Rates play a key part of many timesheet scenarios and TimeControl responds to that challenge with its flexible rate structure.

Updated Timesheet Buyer’s Guide

7251961 One of the most popular areas of the TimeControl.com website has been the Timesheet single source of HMS Software expertise in how to select a timesheet has been a great collection of resources for anyone interested in updating their timesheet system.as it makes tools available at no charge and without obligation. We’ve done a number of updates on the Buyer’s Guide site to the tools and information provided there. This area of the website provides information that both helps prospective timesheet buyers determine what kind of timesheet they might require and then shows how TimeControl can respond to those requirements. The information however isn’t specific to just TimeControl so no matter what kind of timesheet you’re looking for, this section of our site may be of use to you. The Timesheet Buyer’s Guide includes a number of tools that may be of interest to those considering a new timesheet system including:

The TimeControl expense dialog view

Most people who use TimeControl know there is an expense tab on the timesheet in which you can enter non-labor expenses.  The tab becomes visible when you click the “+” sign to the left of any line and shows several tabs of additional information that can be entered and attached to your timesheet.
The Expense tab has a grid view much like the timesheet where you can add an unlimited number of lines of expenses to each timesheet line.  The timesheet doesn’t need to have hours, just a selection of the project and task and then expenses can be added to it.

But, did you know that there is also a dialog view for entering expenses?  The grid is preferred by many but there are some who find the dialog view more pleasant.  It’s easily accessible.  When you hover your mouse over the “Append” button to add an expense line, the Dialog View option appears.

The data is the same. Only the presentation changes.  You can edit an existing line in the dialog view by clicking the dialog button on the far left of any saved line.

TimeControl 6.6 now available

Version 6.6 of TimeControl is now shipping.  We made both TimeControl and TimeControl Industrial 6.6 available for download for existing clients as well as available for new clients on July 4th and we couldn’t be happier with all the major new and enhanced functionality. This version of TimeControl and TimeControl Industrial is a big accomplishment and includes improvements that our clients will be delighted with.  The enhancements in version 6.6 are the result of the partnership between HMS development and our remarkable clients. TimeControl 6.6 includes a wide range of improvements and enhanced functionality.  Some of the most notable enhancements include: Multi-browser Drill Down Analyzer
Drill Down Analyzer HMS has enhanced one of the most popular TimeControl features ever created.  Using this tool allows administrators to respond to unexpected queries about the timesheet data in seconds without creating a whole report. HMS Renews key technical alliances with Microsoft and Oracle


Microsoft / TimeControl Resources Portal

HMS recently renewed its Microsoft certifications in the Enterprise Project Management / Portfolio Project Management  and t he Independent Software Vendor competencies.  As a Silver partner in the Microsoft Partner Network, this renewal makes the 9th consecutive year that HMS has been officially designated as a Gold or Silver partner.  Yet, the relationship with Microsoft was established long before this.  With the first release of TimeControl for Windows in 1995, HMS became one of the first Microsoft Project Solution Partners and has had a continual relationship with the Microsoft Project team since.
The references between HMS and Microsoft are so numerous that HMS has recently established a central portal with links to a wide range of webcasts, links, white papers, factsheets and other collateral.  This new TimeControl / Microsoft portal can be found at

Oracle / TimeControl Resources Portal


HMS has also recently renewed as a Gold Certified Partner in the Oracle Partner Network.  The relationship with
Oracle started from multiple directions in the 1990s.  HMS was an Oracle Technology Partner and many clients had deployed TimeControl with Oracle Financials, JD Edwards and PeopleSoft ERPs.  These products would all become part of the Oracle family.  HMS became a Primavera technology partner in 1997 and there has been a continuous link between TimeControl and Primavera since.  Primavera is also an Oracle company.

HMS and Oracle have many points of contact and to help clients navigate through the myriad links and materials available, HMS has created an Oracle Technology Portal with ties to many elements of collateral in the TimeControl site.  This TimeControl / Oracle Portal can be found at oracle.timecontrol.com.

The Perfect 10 with IE10

Ok, maybe it’s not fair to compare Bo Derek with TimeControl but today’s topic is Internet Explorer version 10.  As Windows 8 is making its way onto more and more PCs, IE10 has become more and more prolific amongst our users.  In the last couple of weeks Microsoft has made IE10 available to a wide range of Windows 7 users as well and we have had numerous questions about TimeControl’s support of IE10.
If you are a TimeControl 6 basic timesheet user then you will likely find that TimeControl is supported without having to do anything new.  Some of our tests have shown that under some conditions, you must turn on compatibility mode in which case you can add your TimeControl URL to your list of compatibilty sites to ensure that compatibility mode activates automatically for your site.
If you are a TimeControl Administrator, or someone who must use one of the few remaining ActiveX controls in TimeControl (such as for System Preferences) then you will have to ensure that IE10 is running in 32bit mode.   Unlike IE9, Microsoft no longer ships two different Internet Explorer versions (32bit and 64bit).  Both are contained in the same system.  To turn on 32bit mode however isn’t obvious.  If you are in a situation where you must run a TimeControl ActiveX, then you can turn it on in the Advanced Tab of your Internet Options.  Scroll down to to “Enable Enhanced Protected Mode”, click it on and then click OK.  Close all browser windows and restart and hey-presto!  You’re in 32bit mode.

For most users this will not be required as it only applies to the handfull of users who must use one of those last few ActiveX Controls.  If you have any challenges with IE10, please let TimeControl Support know at support@hms.ca.

Meet the new TimeControl Report Interface

Meet the new TimeControl Reporting environment

You know TimeControl as one of the most flexible timesheets on the market today but the release of version 6.5 has put reporting of your labor actuals into a whole new category.  GraphicsReportExampleTimeControl was released in 1994 and the flexible Excel-like reporting environment (which is still included with TimeControl) was introduced in 1999.  Since then, it has delivered thousands of reports in a tabular column and row approach which end users could print or save as Excel spreadsheets.  As flexible as that was, there were requests for more.  Could we fix the report format to show a company logo?  Could we do a graphics report?  Could we do a report with multiple lines or long fields that would automatically wrap their text? Could we have calculated fields that did formulas inside the report?  The new report interface brings all of this and more.  While there are some example reports in the new reporting system, the capabilities of this module of TimeControl are vast. 

The new TimeControl Report Interface comes in two parts, a Designer and a Presenter.  The Designer is Charge_Table_rerport_in_iPaddesigned to be used by a TimeControl Administrator and brings a rich collection of tools to a Windows PC to design and create report formats.  The TimeControl Report Designer is installed using Microsoft’s Click-Once technology.  The Presenter requires no installed code on the local terminal.  It follows TimeControl’s.Net architecture and will present any report that has been made available to that user.  The TimeControl Report Interface follows all the same security structures which are already a part of TimeControl.  If a user has access only to certain data, then regardless of which report format is selected, only the data to which they have rights will be displayed.  If the user is prohibited from viewing certain fields, then even if those fields are in a report format, they will not display to that user.

That’s the basic structure but what now becomes possible?

A lot.

The new report environment includes a WYSIWYG report designer that lets you control fonts, insert objects such as pictures, text, calculations, graphics charts, tables, pivot tables and, of course, data from TimeControl.  ReportDesignerGuideCover_200x259The new functionality is so extensive we’ve needed to create a brand new manual called the TimeControl Report Designer Guide which adds over 230 pages of new report functionality to consume.  Graphics charts include pie charts, histograms, curves and more.  For the first time, TimeControl can generate its own burn-down charts and spending curves. 

Tabular reports are vastly improved as well.  TimeControl now gives font control to every element on the report.  There can be some data in a small font, and headers somewhat larger.  Fonts can be colored for emphasis and conditional formatting can even show some data in one color and other data in another color based on the values displayed.  Tabular reports for the first time can display multiple lines per reporting element and control over formatting extends to dates, currency and more.

Calculated fields let us create effects like transposing the words “Active” or InActive” for the Inactive User field which only contains a T/F flag for (true/false).  Or, use calculated fields to calculate budget vs. actual or change person-hours to person-days.

The presentation of reports has also seen a light year leap forward. Having the report presenter created in TimeControl’s .Net environment means that for the first time, reports can be delivered using browsers other than Internet Explorer and in non-Windows environments.  Reports can be presented on an iPad or other tablet or even your Smartphone.
Once a report has been created, it can be saved not only as an Excel file (yes, don’t worry Finance people, we would never take that out of the product!) but also as a PDF, an HTML or MHT page, an RFT file, bot XLS and XLSX file, a flat CSV or Text file or even an image file. 

There is so much more to this new environment that we can’t possible cover in a single communication and to be honest, we know that the best reports that will come from this new system will probably come from the inventiveness of our own clients.
