TimeControl 8.3 now available for download

We are delighted to announce the launch of TimeControl 8.3.

This version has numerous new features and some exciting enhancements that we think will be welcomed by both new and existing customers.

TimeControl and TimeControl Industrial for on-premise deployments are available for download immediately for existing clients with a current Support Agreement at TimeControl.com/support/updates.  TimeControl Online, TimeControl Industrial Online and TimeControl Project subscriptions will all be upgraded automatically in the Cloud in the next few weeks.  We will give existing subscription holders a one week notice before the upgrade.

This version has significant and enhanced features for both Online and On-premise TimeControl clients.

Here are some details on what’s new:

TimeRequest Wizard Update

We’ve done a major overhaul of the TimeRequest Wizard that will allow new employees to be onboarded and automatically adopt previous TimeRequest Wizard entires for them.overcome a challenge some administrators have had in the past.  In previous versions, having new hires be onboarded would not automatically add TimeRequest Wizard holidays to appear.  The result was a more cumbersome manual process for anyone new to make sure that their civic holidays were entered.  Now the TimeRequest Wizard will be able to do this automatically.

Visual Reader support

We have added support for Visual Readers for the Visually impaired into this version of TimeControl.  Following products listed in the American Foundation for the Blind (afb.org) we picked the open source application NVDA as our test bed.  Now users of TimeControl can log-in, access the menu, their personal preferences and enter and submit their timesheets or TimeRequests with greater ease.  We have focused on support for individual profiles in this version rather than all tables and other administrative functions.

SAML IdP-Initiated authentication

TimeControl has had support for SAML authentication for some time.  In previous versions however, we have asked that a Service Provider (the client or service used by the client for SAML) do the authentication (SP-Initiated).  In this version we have provided Identity Provider-Initiated (IdP) SAML support which means that TimeControl can now act as the Service Provider to initiate the SAML authentication request.

Default Table Templates

An Administrator can now create a template for table entries and use that default for new entries.  This can save a bunch of time when new table entries often have the same data in certain fields.  Default templates will pre-enter the data for those fields automatically when a new entry is made or can apply the template on an existing record.

TimeControl Project Copy Tasks to Charge Codes and vice versa

In TimeControl Project we’ve created new functionality to copy Charge record based Views and their associated records to Task Views and records and Task-based Views and records to Charge-records and the associated Viws.

And… there’s so much more.

Improvements in performance and capacity, interface changes to improve the user experience, TimeControl Industrial Extended Rates Options, Crew Onboarding, Enhanced Logging and Event Viewer Changes, brute force login prevention, automatic password recovery and, enhancements to the TimeControl / InEight Estimate Integration

TimeControl and TimeControl Industrial 8.2 on-premise, now available!

We’re very excited to announce the launch of TimeControl 8.2. Over the next few weeks, you’re going to see a number of different announcements about product releases. This first is to announce the release of the TimeControl 8.2 upgrade for on-premise installations. For clients of TimeControl and TimeControl Industrial with current support agreements, this new version can be downloaded from the Client upgrade area at TimeControl.com/support/updates. In the next few weeks we will be updating TimeControl Online and as part of the TimeControl and TimeControl Industrial Online upgrade, our subscription service of TimeControl in the cloud. As part of the TimeControl Online 8.2 upgrade we will also be announcing the availability of TimeControl Project, a new premium version of TimeControl.

This version has significant and enhanced features for both Online and On-premise TimeControl clients. Here is more detail on some of what’s new:

Enhanced Timesheet Entry

We’ve enhanced the way timesheets are created to allow the creation of multiple timesheets at the same time. We also have now included a multiple new line entry to allow multiples lines to be added at once. Also within the timesheet, we allow a single click line-item copy. When copying timesheets, we now allow start/stop values to be copied.

Enhanced Crew Timesheets

In TimeControl Industrial, we’ve made a number of enhancements. The Crew Timesheets now takes into account TimeRequests and adds the appropriate lines right into the Crew Timesheet. We’ve also enhanced the multi-line function to allow multiple projects and charges to be added to multiple crew members at once.

Missing Crew Timesheet Notification

Also in TimeControl Industrial, we’ve added a new function for Missing Crew Timesheets that we expect to be just as popular as the individual Missing Timesheet Notification is.

And much more…

Enhanced Integration with Oracle Primavera, Reporting, Assignments, TimeRequests, Extended Rates, Filter visibility, performance and other usability enhancements across the application.

TimeControl 8.1 now available!

TimeControl and TimeControl Industrial version 8.1 are a major update to the TimeControl 8 family of editions with significant new and enhanced features.    We’re delighted with the new version.  You can find out more details on the website at TimeControl.com/features/latest.

Mobile Materials

tci_mobile_materials.jpg_350x281For TimeControl Industrial Users we have now added the ability to enter non-labor data from the field using the free TimeControl Mobile App.  Along with the already existing Timesheet and Crew Timesheet functionality, this version now allows material consumption, equipment usage and production accomplished to be entered into TimeControl using a mobile device.

The free TimeControl Mobile App is available on Google Play for Android devices and the Apple Store for iOS devices.

Enhanced Calendar View

Calendar_View4_300x162We’ve rewritten the Calendar View to be more useful as an operational tool as TimeControl expands with more project planning and control functionality.  The Calendar View now allows for multiple tasks per row.  Also, items which span more than one day are now made into a longer bar which we’re loving in the office!

Integration with Project for the Web

ProjectForTheWeb_300x189In TimeControl 8.1 we have added integration with Microsoft’s newest addition to its Project Family “Project for the Web” with import only integration (Microsoft doesn’t support sending data back yet).

 

A new wave of reports

What’s new in TimeControl 8.0.1?

We’ve just released an update to TimeControl.  Version 8.0.1 is available for on-premise download right now and we will be updating TimeControl Online in the next few days.  This version has a number of improvements:

Performance for very large implementations

We’ve made some underlying architectural improvements for clients with more than 50,000 users.  TimeControl is now more performant in situations where up to 150,000 users in a single system are deployed.

Incremental Filtering

When you are now searching for a project or charge code in the timesheet, we’ve implemented incremental filtering.  Instead of clicking on the ellipsis (…) and then selecting a charge, just start typing the code and TimeControl will attempt to fill in the rest.  This can be a big time saver!

Improvements to TimeRequest

We’ve updated TimeRequest to support more columns in the TimeRequest Header which we know will be useful for many users.

OpenID for Azure

Azure support for OpenID has some quirks that are unique to that environment.  TimeControl’s OpenID support now supports Azure OpenID more fully.

New Security Options

You’ll find some new security options in the Administrator/System Preferences screen.  This goes with a complete security audit of TimeControl where we added some additional screening and protection of the system.

While this just an update.  We’re preparing for a new TimeControl Upgrade in June with numerous new features. Stay tuned to these pages for news in the coming few weeks.

TimeControl 8 begins shipping

All of us here at HMS are very excited about this announcement.  After over a year in the planning and countless hours of work, TimeControl 8 is now available!  This version represents huge changes that have been recommended by our clients, by our own research and by evolving industry guidelines.  There is so much new in this new version but for those already using or about to begin using TimeControl, don’t worry.  We have kept all previous functionality alive and well.  You’ll have no trouble finding your usual functionality for your timesheet, security, tables and reporting all where they’re supposed to be, even if they look a little different.

Here is just a bit of what you’ll see in this brand new version!

All new interface

tc8_timesheet_groupedFirst, the interface is all new.  The last time we made this big a change in the look and feel of TimeControl was 2010 and it was due.  We’re following new industry guidelines on look and feel and we think you’ll agree that it’s even easier to find your way around the new screens!

JIRA support

We’ve found many of our clients have IT groups within them who have adopted JIRA.  JIRA is a task and project management system that has a big following amongst developers and IT specialists.  TimeControl 8 includes a bi-directional link with JIRA that allows JIRA users to have their task updates and effort expended automatically populate their timesheet.  Then, when going to TimeControl to finish their timesheet for any non-development (non-JIRA) work they have they will already find all their JIRA data already there.  This promises to be a big time savings for JIRA users.

ARES PRISM Support

Along with ARES PRISM, we have also included support for a bi-directional integration between ARES PRISM and TimeControl.  ARES PRISM is a high-end project cost control system that is often used in large Engineering-Procurement-Construction mega projects.  The new link with TimeControl means that ARSE PRISM users can implement enterprise-level timesheets within the same system so that estimates can now be directly compared to actuals.  The link is effected from a plug-in inside of the ARES PRISM system.

All new TimeControl Mobile App Views

tc8_mobile_views_polarareaWe’ve gone so much further with TimeControl Mobile.  Aside from the new Mobile Crew Interface for TimeControl Industrial which we’ll talk more about next week, there is a new feature for supervisors, managers and administrators that lets them see graphical representations of all TimeControl data in their control to help them make decisions at a glance!  The new looks are stunning but more importantly, they bring the depth of TimeControl data to a look that is effective and easy to understand.

There is so much more.  Support for Microsoft Project Server 2019 on-premise, additional enhancements in the TimeControl Mobile App, the new TimeControl Notification system, new email notification capacity, improved single-sign-on for corporate users, a major expansion of the API to introduce new end points and methods.

TimeControl 7.4.1 is now available!

We’re delighted to tell you that TimeControl 7.4.1 is now available for download.  This version updates TimeControl, TimeControl Industrial, TimeControl Online and the free TimeControl Mobile App.  TimeControl and TimeControl Industrial clients with a current support and maintenance agreement can download the new version immediately at TimeControl.com/support/updates.  HMS is preparing for the upgrade of TimeControl Online which will happen automatically in the next 2-3 weeks.  TimeControl Online customers will be notified a week in advance of the update.

There are many new features to be excited about.  Here are some of the highlights:

Charge Hierarchy

TimeControl now supports multiple methods of displaying a hierarchy of charge codes.  TimeControl has long been recognized for supporting hierarchical charge structures but the new functionality takes this to a new level.  Field hierarchy permits hierarchy to be built from multiple user defined fields in the Charge Table and you can create multiple breakdowns then switch them on the fly when you’re searching for charge codes in the timesheet!

Numerous new API methods

We have made extensive additions to the TimeControl API making it even easier to integrate TimeControl as part of an overall corporate environment.

Mobile Debit/Credit Adjustments

The TimeControl Mobile App now allows Debit/Credit update Adjustments.  This allows supervisors and administrators to open a Posted timesheet and apply adjustments to that timesheet and release those adjustments to Posting.

Mobile Posted Expenses and Attachments

The TimeControl Mobile App now includes the ability to view the expenses that are attached to a posted timesheet in the past as well as any attachments that might have been associated to the timesheet or expenses.

Assignments

We have made major changes to the Assignments Table.  Assignments can now be made as part of a person’s full time availability so one person could be put on two tasks simultaneously at 50% of their availability each.  You can also now have the assignment start and finish be dates other than the charge start and stop so assignments that were meant to occur only during part of the charge can be defined that way.

Administrator configuration enhancements

We have taken numerous elements of the TimeControl configuration and moved them from the TimeControl.INI file into the Administrator System Preferences and User Profiles functions.  This will make a huge difference for TimeControl Online environments where some of these features had to be managed at the server level.

New User Profile Features

There are numerous new settings in User Profiles that allows TimeControl’s configuration to be tailored to the person or group with that User Profile setting.  These changes include all-new Super-User reject and Modify rights .  You can also change how the Timesheet List appears, allowing only a certain number of weeks in the past or future to display.  A new Highlight feature helps when adding a timesheet by highlighting the current week or the last missing week for a new timesheet.

Control Period Create Times

When creating timesheets, TimeControl allows the number of periods in the past and the future to be constrained to avoid accidentally creating a timesheet in the wrong period or in a period when Finance is not expecting it.

Copy Hours

We’ve made it possible to control who is allowed to copy hours when creating a new timesheet using the Copy Timesheet function and activated the ability to copy hours.

And…

There’s so much more.  We’ve done a lot of work on high volume capacity, improved performance, added more revision auditing, and improved usability across the application.

TimeControl 7.2 is now available and it includes the new TimeControl Mobile App!

We’re very excited to announce the release of TimeControl version 7.2. This update to TimeControl includes numerous new and enhanced features and also showcases the release of the TimeControl Mobile App!

There are some incredible new features in this version and some major enhancements too!

The TimeControl Mobile App!
It has been a while in the making but the TimeControl Mobile App is now available.  It is a free App designed to work on both Android and iOS (Apple) devices.  The App lets users log into their TimeControl account and create a timesheet, update an existing timesheet, complete and release a timesheet and, if a supervisor, approve or reject timesheets.  The App is highly intuitive with a responsive design interface.  If used on an Android device, it adopts the styles and characteristics of that device.  If on an Apple device, it appears as any other Apple-based App.  The screen adjusts to the resolution available to it.

The TimeControl Mobile App is free and available on Google Play and the Apple App Store.  The TimeControl Mobile App works with TimeControl 7.2 and higher installations.

TimeControl API
TimeControl now includes a complete Application Programming Interface to the already numerous methods of integrating TimeControl with other corporate systems. With scheduled links already available, many organizations can take advantage of transferring data to and from TimeControl through transaction files. This new REST-based API goes even further, letting organizations program the movement of data into and out of TimeControl by creating programming calls to the TimeControl API. The API is optionally installed as part of TimeControl and security is controlled in both System Preferences and User Profiles.

Timesheet Grouping
TimeControl now allows you to group your timesheet or for TimeControl Industrial users, the Crew Timesheet. For users with a large number of line items, grouping them can help with data entry. There are up to five levels of grouping and you can group by any field displayed on the timesheet.
New buttons to Expand All or Collapse in the Actions Menu at the top allow you to quickly display all lines in the grouped format or go back just to the summary lines.

There is so much more!
Additional new and enhanced features include: Scheduled Timesheet Creation, Scheduled Autofilled Timesheets, email notifications in Line Item Approvals, pretest Validation Rules, SAML 2.0 authentication support, new data views in the Drill Down Analyzer and more.

TimeControl 7.1.1 now available

We’re not usually so excited about what we call a “point-release” but this new version of TimeControl is something to cheer about.  TimeControl version 7.1.1 builds on the recent release of TimeControl 7.1 with three new exciting features.

TimeControl integration with Project Online

TimeControl can now link with Project Online.  Project Online is Microsoft’s in-the-cloud subscription service of Project Server and integrating with it requires using a whole new toolset from Microsoft.  The TimeControl link with Project Online is now available in version 7.1.1 of TimeControl.

TimeControl integration with BrightWork

The BrightWork collaborative project and portfolio management system has been around almost as long as TimeControl and now both HMS and BrightWork have worked together to integrate these two systems into one powerful combination of functionality.  In TimeControl 7.1.1 TimeControl includes a complete integration link with BrightWork and BrightWork Online.

TimeControl integration with SharePoint

TimeControl has had a link from SharePoint for some time but in version 7.1.1 this has been rewritten entirely into a full integration.  Now, TimeControl and SharePoint can integrate bi-directionally as well as in all the ways it could in the past.  You can even present TimeControl right inside SharePiont if you wish.

Best Practices for Upgrading TimeControl

With version 7.1 of TimeControl and TimeControl Industrial having just been released, we thought it was a good time to update our notes on the best practices for upgrading TimeControl.

For many of us, we have gotten so used to having our mobile devices update our applications automatically in the background that it takes a conscious effort to think of proper upgrading procedures for enterprise applications. When the application is a timesheet system like TimeControl, this issue can be compounded by the thought that so little of most users’ week is taken up by entering their time in the timesheet.  Yet the data in a timesheet system may be absolutely critical to many corporate policies that are essential such as payroll or invoicing.  Upgrading clients is not an automatic part of TimeControl technical support but HMS is often asked to assist with such upgrades as part of a consulting mandate.

An enterprise application like TimeControl is one that should be upgraded within a structured process. Here are some best practices we have learned at HMS on how to implement a TimeControl upgrade.  The advice is likely useful for any corporate enterprise application:

First, make a plan

Yes, the upgrade can be downloaded in a couple of minutes.  Yes, it’s easy to click on the installation package and have it start churning through files and processes.  But no.  Don’t get started until you have a plan.  When HMS does an upgrade on behalf of a client, we have a standard template of how the upgrade will go.  It looks like this:

  1. Backup existing system
  2. Install the new version as a separate instance or if it exists, install into the staging instance.
  3. Upgrade the staging instance and turn off any automatic scheduling so you don’t upload exports or links to project management twice (one from production, and again from staging)
  4. Review logs from the upgrade for any errors then review all data for any issues. Record how the errors or issues were resolved.
  5. Use the staging instance and duplicate a representative number of timesheets from the current system. Review reports and exports to ensure they are working correctly.
  6. Inform existing users when you intend to bring your production instance of TimeControl offline to perform an upgrade
  7. Production Upgrade day:
    1. Take TimeControl offline
    2. Backup the data and the application directory in case it is needed for a rollback
    3. Upgrade the instance
    4. Review upgrade logs. Using your notes from any corrections that were needed during that upgrade, perform the same corrections here if needed.
    5. Restart TimeControl
    6. Do a check of basic functions to ensure the system is working properly
    7. If everything appears in order, inform the users that TimeControl is back up and available.
    8. If there are major issues for some reason with the production instance, roll-back and speak with HMS about errors encountered.

Next – Back it up

You might think that everyone backs up their enterprise data but sadly that’s just not true.  No matter how confident you are that your particular deployment of TimeControl will be seamless and instant, back up your data.  We do.  We don’t start an upgrade on behalf of a client without backing up the data.  In some cases, organizations with virtual servers can actually back up the entire TimeControl environment include the database server, the database itself and even the TimeControl instance.  That’s fine.  But don’t get started on an upgrade without backing it up first.

Look before you leap

This advice is often given to swimmers venturing outdoors into an unknown area.  Diving into water that looks deep but turns out to be rock-filled or shallow can be dangerous.  In the case of TimeControl, take a look at the “Read-Me” files, any “What’s New in this version” files and even the installation and upgrade guide before jumping into a new version.  Just because a new version of TimeControl has an exciting new screen doesn’t mean that you need to upgrade right away.  If your current TimeControl is happily operating then there is a disincentive to go through the effort of upgrading.

All the world’s a stage

”All the world’s a stage…” said Shakespeare (in As you Like It).  In this case, I’m referring to staging your upgrade.  Every enterprise system should probably have both a production instance and a staging or development instance.  Your TimeControl licensing allows you to do this without extra cost.  Establishing an instance of TimeControl that has everything your production configuration has (easy to do by copying the production database back to the staging instance) means that you can test out new updates before they’re made available to the end-users.  That’s just a best practice for any enterprise system, not just TimeControl.  This allows not only new updates but any configuration changes such as new filters, new reports, new validation rules to be tested out in advance.  With a new version like TimeControl 6.0 where the architecture was significantly changed or 6.1 where core functions like table management underwent big changes, you’ll be able to ensure that your system will work just as it should before end users are exposed to it.

Do the whole upgrade

One of the most common upgrade problems reported to our technical staff from clients is finding that the client either skipped a step or didn’t finish the entire process.  This is particularly true when clients are trying to upgrade through multiple versions and the client doesn’t let the ensure that the Transaction Server has started or that the Scheduling Server is actually running and complete the update work in each version before moving onto the next.  So, make sure you’ve complete all the steps to the update!

Be prepared to advance to the rear

During the Korean War, General Oliver Smith was asked if the American Marines were retreating.  “We’re advancing to the rear,” he is reported as answering.  When we’re talking about software, it’s a fact that not every upgrade goes perfectly and for a wide variety of reasons.  When you do your update, be prepared to retreat, regroup and try again.  If you backed up not only your data but also your application directory, you should be able to roll back the upgrade with relatively little effort or time.  If that happens, talking to HMS Technical Support about what errors you encountered may help.  Make sure to have your error logs and the process you followed available

TimeControl 7.1 now available

Late last night we released TimeControl 7.1 and we couldn’t be more excited.  TimeControl Industrial 7.1 was also released but we’ll do a post and more notes on that edition of TimeControl tomorrow. TimeControl 7.1 includes numerous new features and many improvements on features that are already a part of the TimeControl 7 family.  The features we’ll mention here are shared by both TimeControl and TimeControl Industrial:

Line Item Approval

tc71_lia_300x240One aspect of TimeControl that has been a constant has been the multi-faceted way that approvals are handled.  We coined the term “Matrix Approval Process for Labor Actuals™” (Yes, that’s our trademark).  TimeControl has had both an organizational approval aspect and a project management line-item aspect of approvals since its very first version but now we go much, much further.  The new Line Item Approval mechanism allows additional parallel approval paths to progress as part of an approval design.  Imagine one stream of approvals for HR and Payroll, another for Project Management, yet another for Account Management or even another for Onsite Client approvals.  The implications of how flexible approvals have just become is so vast, we’re still wrapping our heads around it and will share our insights in a white paper in the coming days.

Web Services link to Oracle Primavera EPPM

primaveralogo_300x76TimeControl now has two ways of linking to Oracle’s popular project management product.   The existing database-to-database link will remain but for some environments this was not enough.  With the new TimeControl Primavera Web Services link, TimeControl takes advantage of the Web Services API within Primavera EPPM to create a bi-directional link with the same functionality as the existing link.  TimeControl has had an integration with every version of Primavera since 1997 and with this new architecture, it looks like that integration will continue for decades to come. For users of Primavera Professional or EPPM users who need intimate database-level integration in an on-premise implementation, the existing links will remain in TimeControl.

Batch Debit / Credit

TimeControl Industrial had a feature in the past used for doing Debit / Credit adjustments for many employees at the same time.  In the high-volume world of TimeControl Industrial, it was a must but it was also so popular that we’ve rewritten Batch Debit / Credit and have made it part of the regular TimeControl.  Administrators are likely to love this easy to use method of making adjustments for multiple timesheets and even across multiple employees in a single interface.  For organizations with many adjustments to make each period, this will be welcome news.

We didn’t talk about this much in the last version of TimeControl because it was new even to us but the Employee Banks Report is a new dynamic interface that allows administrators to view, aggregate, group, sub-group and analyze the status of all data in the Banked areas of the employee records.  For larger organizations this view is tremendously powerful and allows HR managers to get a handle on what time off has been taken, what categories it’s in and what is still to be taken for any selection of staff.

And so much more…

These are just the more visible changes available as part of TimeControl and TimeControl Industrial 7.1.  There are so many more changes under the covers including performance improvements for high capacity or high volume implementations, ergonomic improvements to many of the screens, and improvements to the table interface which makes it faster to perform most functions.
