Write your own timesheet or subscribe to one?

Subscribe Online or Write it yourself.  Chris Vandersluis, Christopher Vandersluis, Christopher Peter VandersluisYou need to update your timesheet or your project management system.  A host of potential developers are pitching for your business often with low-cost overseas developers.  It might sound tempting.  You could commission exactly the features you’re looking for and, after all, it’s a timesheet. How hard could it be?

Here at HMS we hear this quandary on a regular basis.  Sometimes we hear that the prospective client has, indeed gone off to create their own customized development of a timesheet or combined timesheet and project system.  We often hear back from them 2 or 3 years later as they look at TimeControl again.

Here are a few things to think about if you’re considering writing your own system.

Writing it yourself

Here are some of the things you’ll need to think about as you embark on your writing a timesheet project.

Internal Design

Internal design isn’t a given.  Do you have personnel with the expertise to design such a system?  Even with our deployments of TimeControl, we sometimes find it difficult to get all elements of the client to agree on exactly what the functionality and process should be.  Are you able to consider everyone who is involved in the project?  How difficult will it be to get sign-off on your design.  What will be your process for accepting changes to the design after the project is underway or even after it’s delivered?

Creating it

Ok, you’ve fought through the design and you’re ready for those programmers to get busy.  Now you’ve got to create it.  You’ll need to make sure that the outcome matches the design and then testing, testing, testing to make sure what you’ve created matches your process.  Are there regulatory requirements?  What about financial requirements? Have you got a dedicated programming team or might some of the team change over time.  Did you think to make test case data for testing?

Effort

It can be surprising how much time it takes to create a timesheet system and even more a project system to the commercial standards you see online.  The interface that you see on screen is the least of the work.  What happens once that data is saved is the hard part.  So total effort can be deceptive.  Think in terms of several person-years of work to get the job done.

Congratulations! You’re now a timesheet publisher!

With a commercial system like TimeControl, we get to amortize all the effort we’ve put in over the last 30 years across hundreds or thousands of clients.  That won’t be the case for an in-house written system.  Plus, in becoming a timesheet publisher, there may be some sideeffects you might not have counted on.

  • Your people will be distracted from your core business. These might be some of your best core people.
  • You’re not just responsible for writing it, but also adapting it to changing technology. Whenever an operating system or a database or a browser or malware protection or any integrated technology changes, you’ll need to check to see if upgrades are required.  It’s continuous work.
  • You’re responsible to secure it, monitor it, and upgrade it. Plus, are you developing for in house, in the cloud, in a private cloud, in a hybrid cloud?
  • What about requested changes? As soon as your system is delivered, it’s a guarantee that someone will ask for something additional.

Delays until the investment in writing it pays returns

You’ve created it, tested it and deployed it and how long did that take?  Every day you spent on the project is a day you weren’t receiving the benefits of having delivered it.  With a system that you buy or subscribe to, those delays don’t occur.

The TimeControl Evolve program

The TimeControl Evolve program enables TimeControl on-premise clients to easily migrate to TimeControl Online

The TimeControl Evolve is designed to enable TimeControl on-premise clients to migrate to TimeControl Online, the TimeControl Software as a Service subscription in the Cloud.  The evolve program is an inexpensive and effective way to move your TimeControl system into the cloud.

TimeControl on-premise has been marketed since 1994 (yes, that’s right, 28 years!) so there are a lot of on-premise clients out there.  Even though more sales these days are for our subscription Cloud service, TimeControl on-premise is still sold and supported and will be for the foreseeable future.

But that leaves a lot of on-premise clients who are interested in migrating from an on-premise timesheet system to the SaaS equivalent.

There are many advantages to migrating to a TimeControl Online subscription:

  1. First, all maintenance of TimeControl is handled by HMS. We do all the server, database, malware prevention and application upgrades for you.
  2. TimeControl Online is upgraded automatically by HMS. You will no longer have to be concerned about upgrades.  HMS takes care of all updates, upgrades and new version installation centrally on the TimeControl Online servers.
  3. Continuous monitoring is handled for you. TimeControl Online is monitored 24x7x365.  We are looking at the system continuously and are proud of our 99.9%+ uptime since the service was first launched in 2011.
  4. TimeControl Online and TimeControl on-premise are the same code. That means that all functionality that you know and love in TimeControl on-premise is already in TimeControl Online.
  5. Data backups and disaster recovery is already included. TimeControl Online is backed up daily and you can even download your own database backup in case you want to be sure to have control over it.  Disaster recovery is layered to handle issues of different scales and types.

When you sign up for the Evolve program we will assist you in migrating your data to TimeControl Online.  If you haven’t upgraded your TimeControl on-premise to the most current version, then you can optionally have us help do the upgrades to ensure that the data you have will immediately migrate to the online version.  We can also advise you on maintaining or enhancing your links to external systems such as project management tools, ERPs and more.

Getting back to the office in person and hybrid work

In some areas of the planet, people are slowly being called back to the workplace to do in-person work.  In other areas staff are still working from home virtually.  For those areas where in-person work is starting, a new type of work environment has evolved that has been termed a hybrid workplace where people will work in the office for some part of their week, work virtually for some part of their week and perhaps even have flexible schedules for some part of their week.  This kind of environment would have been considered quite radical only 18 months ago but not so much today.

Many organizations shifted their on-premise corporate systems such as timesheets to a more online environment when the pandemic first ordered shutdowns.  Other organizations made longer term plans for shifting to cloud-based software as a service but on a slower, more managed pace.  Here at HMS we have been busy since March of 2020 working extensively with both new and existing clients on shifting on-premise timesheet systems to our own TimeControl Online subscription service in the cloud.  That work continues.

As workers start to shift to on-premise work, there will be a natural blend of some people doing some work in the office, some people doing some work from home, some people doing all work from home.  Not everyone will shift simultaneously even within one organization.

There are other complications to getting everyone back to work as well.  During this time, some organizations have extended their offshore working teams.  After, all, if we’re all virtual anyway, what difference does it make if someone is at home down the road or at home on the other side of the world?  Now, as some workers shift back to on-premise work, these new offshore workers will have to be blended into shifting HR policies.

All of this may feel very disruptive to people as the routines they and their families have gotten used to are changed.

One thing that has been a stable force for the TimeControl Online clients is knowing that no matter where you are located, accessing your timesheet to report the work you’ve accomplished and, to report your presence or absence is a given.  The TimeControl Online subscription service in the cloud can be accessed from anywhere there is Internet via a web browser or a mobile device (Android or iOS).

We expect in the coming weeks that many of our clients will use TimeControl’s flexibility to add a field to the timesheet asking the employee to record where they were for the line item listed.  Did that work occur at the office, at home or, elsewhere?  It’s a change that takes only minutes and it will give the organization insight into where people are when they’re getting their jobs done.

Here at HMS we’re still all working remotely and will be for the next few months at least.  But, once we’re able to gather in person again, we’ll almost certainly start to do so in a phased-in approach with a blended at home/at work policy.  We’ll let you know, right here on the blog, when that happens.

The Migration to SaaS timesheets continues

Here at HMS we’ve seen a steady stream of new and existing customers migrating their timesheet process from on-premise deployments to our TimeControl Online timesheet subscription service in the Cloud.  With remote workers now becoming a much more long-term fact of business life, we anticipate this migration to continue.

There will, of course, always be a desire for on-premise or private cloud deployments of a product like TimeControl but this is now more likely to be associated to those working in high security environments such as Defense, Aerospace and ultra high-tech innovation where the desire to keep all data inside the building’s walls is a high priority.  These industries however, are seeing a much lower incidence of remote workers.

At HMS we are committed to support both our on-premise TimeControl and our TimeControl Online subscription service in the cloud indefinitely.

For organizations that are trying to come to terms with a movement of data and applications out of the office and into cloud services, there are some decided benefits to a TimeControl Online.

We started TimeControl Online back in 2011 with the intent that it be accessible by users anywhere in the world.  TimeControl had already been browser based for years and, by 2011, TimeControl was a well-established enterprise timesheet system with 17 years of experience in the market.  Moving to TimeControl Online provides no disadvantages for existing users.  All the functionality of TimeControl is identical in TimeControl Online.  In fact, we maintain a common code base for both systems.

With the Online Service in the cloud, HMS takes on some of the responsibilities that may be becoming harder and harder for remote workers to provide.

With TimeControl Online, HMS takes over all the technical responsibilities of managing the system including:

  • Maintaining and updating the servers and their operating systems
  • Maintaining and updating the databases servers
  • Managing disk space, logs and performance of the servers
  • All hot fixes for TimeControl are installed automatically
  • All upgrades to new versions of TimeControl are included and performed automatically
  • Security including malware production
  • Backups
  • Continuous 24×7 monitoring

All that’s left for the client is to actually use the system.

Thinking of migrating from TimeControl on-premise to TimeControl Online in the Cloud?

Since its first release in 2011, our TimeControl subscription service in the Cloud, TimeControl Online has been accompanied by a process for existing TimeControl on-premise clients to migrate to the online service.LIA_1_300x192

TimeControl is available both as a purchasable license for installation on your premises or as a subscription service.  The product is identical in both scenarios and, in fact, comes from the same code-base so any fixes or enhancements done by the HMS Software development team become available to both products right away.

The TimeControl Crossover Program provides a credit to an existing TimeControl on-premise client when they want to migrate to the in-the-cloud version.  The credit is based on the number of licenses, the original purchase price of TimeControl and the date when you last renewed your TimeControl Support contract.  In many cases, the credit is substantial and is applied to your first year’s subscription costs of TimeControl Online.

Once you are using TimeControl Online, HMS takes responsibility for maintaining the environment.  We manage the servers, the databases, backups, the web server, automatic upgrades to the latest TimeControl version, malware management and 24×7 monitoring of the environment.   All you have to do is login and continue using TimeControl.  All your familiar data is ready and you will be able to continue to enjoy your integrations with Project Management tools and your Finance systems.

The process for migrating to TimeControl Online is well established by our technical staff.  First, you need to be upgraded to the latest version of TimeControl.  This can be done on your own or you can have HMS assist you with the upgrade.  Once the data is on the same version as TimeControl Online, HMS takes a backup of your data and translates it into the data format used by TimeControl Online.  Then that data is uploaded by HMS to your TimeControl Online environment and all you have to do is log in.

All your data, reports, filters, validation rules, dashboards, login information is all transferred and is immediately available to you online.  TimeControl Online is already set up to use the free TimeControl Mobile App so if you’ve been waiting to set that up, you are ready to go there too!

One option is to have HMS do the upgrade and data transfer simultaneously as that can be done quite quickly.

If you have made more extensive integrations directly to your TimeControl on premise database or you have made other customizations for things like authentication, then you can speak to the TimeControl technical staff to see how this functionality can be replicated in the TimeControl Online environment.

TimeControl case study with WHP Engineering 

We’re delighted to tell you that we have just finished collaborating with WHP Engineering on a greate case study describing how this UK-based engineering company has implemented TimeControl to improve operational efficiency in the organization.

WHP Engineering specializes in precision engineered solutions for the biotechnology, pharmaceutical and other clean process manufacturing industries.  It has grown more than 135% since 2017.

WHP has deployed TimeControl in part due to its integration with both Oracle Primavera and Sage and are delighted with the results.

Everything I know about TimeControl, I learned in the Sandbox!

In early 2018, HMS introduced a new service associated to TimeControl Online. Called, the TimeControl Sandbox, it is a parallel service that brings a separate instance of TimeControl Online and features to replicate the exact data from the production instance of TimeControl.  The purpose of the service is to provide TimeControl Online administrators a separate TimeControl for the testing of new features and the creation and testing of new Link definitions, Validation Rules and Accrual processes without affecting the main system.  The TimeControl Sandbox is also an ideal place for training.

The cost is a small fixed price per year regardless of the number of users on your TimeControl Online subscription.

Here’s how it works

HMS creates a second instance of your TimeControl Online environment and links this instance to your production instance of TimeControl.  At any time, the Administrator can restore the complete production database into the Sandbox. If you have multiple backups, you can choose which backup to restore.

Some key points

  • You can never restore the Sandbox database into the Production database. This prevents any possibility of damaging the production database.
  • To move configuration changes into the Production system, the Export Packages function exports packages such as Reports, Validation Rules and Filters from the Sandbox and the Import Packages function imports them into the Production system.
  • Scheduling in the Sandbox is turned off. This prevents any unexpected transfers to or from corporate or project management systems.

Choosing between Subscribing Online or Purchasing for OnPrem

A few years ago, we’d have thought that online subscriptions of Software as a Service for enterprise software was something destined for more modestly sized clients.  If you were a few dozen or a few hundred users, then your organization might not have had a full-blown IT team or a comprehensive data center.  The promise of completely managed software in a service business would have been more attractive to such organizations we’d have thought.

That was then, and this is now.

In today’s IT world, organizations of all sizes are rethinking how they look at the On-Line vs. On-Premise decision.  The efficiency of online services and the infrastructure organizations that support them mean that software of all sizes can be attractive in a hosted environment plus the security attached to many Software as a Service (SaaS) infrastructures is often daunting for an internal IT department to compete with.

There are compelling reasons however to select either Online or OnPrem.  Let’s consider a few:

Why install on Premise?

There are many potential reasons for installing a product on your own premises.

Integration

Many Software as a Service systems including TimeControl have API modules that allow programming access to many of the functions.  No system however, opens every single possible function into their API.  It’s not because programmers don’t want to but there is a cost/benefit consideration when creating such functions.  In TimeControl for example, you can use the API to populate all the major tables.  But there are other functions such as those for maintenance that are not accessible programmatically.  That’s because they’re only used once or rarely from time to time and therefore the cost of creating programming access to them delivers little or no benefit.

But it is certainly possible that someone might have a compelling reason to integrate with TimeControl at such an intimate level and then direct access to the database might be preferable.

Another Integration attraction is for high volume integration.  When we have 500 users, the speed of the transfer of data from one system to another is so fast it’s not worth talking about.  When we have 5,000 users, perhaps it is.  There are some clients who might have such a high volume of data transfer that direct access to the data for moving data in or out is attractive.

Security

The security of many subscription services is a key preoccupation of providers.  It certainly is for TimeControl.  We’ve written numerous white papers on the subject and also leverage the security.  But security systems inside of an organization can be made even more secure.  For example, an internal TimeControl instance can be made wholly inside the firewall and not be outward facing towards the Internet.  Then potential attacks on it could only originate by either hacking the firewall or from inside the organization itself.  In-the-cloud services including TimeControl Online are, by their very nature, accessible through the Internet.

Some clients prefer to stick with a version of software and not upgrade until they are left with no choice at all.  This isn’t for everyone but in organizations where many other systems and processes depending on this system or many systems are integrated, there can be additional work implied in upgrading that may be problematic for the organization.  If you install on your premises. You decide when to and if to upgrade.

Why go with Online?

Regardless of whether you are a small or large organization, there are many reasons that subscribing to an online service could be attractive.

No maintenance

Included in your subscription fee is the cost of updating, maintaining, securing and monitoring your system.  That’s not just the maintenance for the system you are subscribing to but also all its infrastructure including the operating system, the database, malware protection, disk space, hardware performance and more.  That can take a big load of work off your internal IT department.

Updates

When you are subscribing to an in-the-cloud service, your system is virtually always up to date.  That’s because all the updates are done centrally by the provider.  In most cases there is no cost to the upgrade or work other than internal training.

Support is easier

When you call for technical support for an in-the-cloud system, there are a couple of things that are easier for you.  First of all, technical challenges like an actual malfunction of the system is much more rare because the system is shared among many clients and even more users.  Plus the provider’s testing of that system happens in what is for them a perfect environment.  They chose the operating system.  They chose the database.  They chose the network settings.  They chose the anti-virus and anti-malware software.  That helps make the system much more stable out of the starting blocks.

A second implied advantage for support is that you are always speaking to the support department about the same version of the product.  There is never a “What exact version and build are you on?” conversation because everyone is on the same version and build.  That makes tracking down a problem and determining the cause much easier for the technician and gets you back on track much faster.

What about mixed environments?

It’s possible to have some of your systems in the cloud and others on your premises.  TimeControl is often deployed in a mixed environment.  In some cases, TimeControl has been installed on premise and has to link to ERP and Project systems that are hosted in the cloud like Project Online.  In other cases, clients are using TimeControl Online in the cloud and have to link to an internally installed project management system, BrightWork for example.  With TimeControl’s flexibility that hasn’t been a problem for us thus far and there are many combinations of on-premise, in-the-cloud, and hybrid environments you might envisage.

What about the future of TimeControl?

HMS is committed to maintaining both TimeControl Online in the cloud as a service and TimeControl for purchase for on-premise installation for the foreseeable future.  We want the product work how the client needs to.
