If you are using TimeControl Industrial, then you already know the incredible time-savings of using Crew Timesheets. A crew timesheet allows a team lead, supervisor or clerk to enter the timesheet data for multiple employees at the same time. When in the field, a supervisor can do this using a tablet or a laptop and quickly update all the activity progress in real time. Capturing and collecting data in the field gives it a much higher chance of being of high quality.
In the most recent edition of TimeControl, we have added the functionality that has already existed in an individual timesheet for a very long time. Now supervisors entering a crew timesheet can, at the same time, enter all the arrival, departure and break times for the entire crew. This might seem like a lot of data for the supervisor to deal with so we’ve combined this feature with some additional features to make this data entry easy.
Default Shifts
First of all, we use the new Shift feature to create default starts and stops. A Shift can include as many starts and stops per day as you need so if you do a start for arrival at work, a stop for a morning break, a start for after the break, a stop for lunch, a start for after lunch, a stop for afternoon break, a start after that break and a stop at the end of the workday, TimeControl has that covered. If you just prefer a start at the beginning of the day and a stop at the end, that’s ok too. You can create a complete shift schedule for the entire week then in the Crew definition you can attach a shift schedule as the default.
When a new crew timesheet is created, one of the options is to pull in the default shift schedule. If you do this, all the starts and stops for each individual in the crew are already added. Then you can just change any variances from the expected schedule. One person arrives late or leaves early? That’s a simple one-line change.
Bulk Edit Start/Stop
Also in the Start/Stop area is new functionality for adding Start and Stop entries for the entire team. In Bulk-edit, simply select which crew members you’re adding a start and stop for, the days of the week for which these entries apply, then add the details of the starts and stops and TimeControl will ripple through the combinations to make the entire entry. It’s a huge time saver!
These features only appear of course, if you have turned the Start/Stop functionality on in the User Profiles.
These features are also used in individual timesheets to make default schedules. There can be as many Shifts as you wish. In the case of individual timesheets, the application of the shift is done in the Employee Table.
It’s just one more way that TimeControl helps field data collection be complete and accurate.
